Hybrid work is no longer a temporary arrangement. For most Ontario businesses, it is the permanent reality, and the meeting room is where that reality either works or fails.

The problem is that most meeting rooms were not built for hybrid. They were built for everyone to be in the same space. When half the team is on a screen and half is at the table, you need a fundamentally different approach to audio, video, room control, and network infrastructure. Getting any one of those elements wrong means your remote participants are watching a silent slide deck while your in-room team strains to hear whoever is calling in on a laptop speaker.

This guide walks you through every decision you need to make when building a hybrid meeting room from scratch, from the first site assessment to the day you go live.

Step 1: Define How the Room Will Actually Be Used

Before you select a single piece of equipment, get clear on what the room needs to do. The answers will shape every decision that follows.

Questions to work through:

  • How many people will typically be in the room at once?
  • What is the split between in-room and remote participants on a typical call?
  • Which platform will the room run on: Microsoft Teams, Zoom, Google Meet, or Webex?
  • Will the room be used for one-on-one calls, team meetings, presentations, or all three?
  • Does it need to double as a training space, a client briefing room, or a town hall venue?

A huddle room for four people running daily stand-ups has completely different requirements than a boardroom used for executive presentations and client briefings. Defining the use case first prevents over-engineering small rooms and under-speccing important ones.

Step 2: Assess the Physical Space

Room acoustics and dimensions are the foundation of a good hybrid experience. No amount of high-end equipment will fix a room that echoes, has poor ambient noise levels, or seats people at angles the camera cannot cover.

Key dimensions to evaluate:

  • Ceiling height: Affects whether ceiling microphone arrays are viable and how audio will behave at different volumes.
  • Wall materials: Hard, reflective surfaces create echo. Rooms with glass walls, concrete floors, or minimal soft furnishings will need acoustic treatment before AV installation.
  • Ambient noise: HVAC systems, open-plan adjacency, and street-facing windows all raise the noise floor. This affects microphone selection significantly.
  • Natural light: Windows behind participants create silhouetting issues for video. Camera placement and display positioning need to account for light sources.
  • Existing infrastructure: What network drops, power outlets, conduit pathways, and ceiling access are already in place? What needs to be added?

A proper site assessment by your AV integrator at this stage saves significant rework later.

Step 3: Choose Your Platform First, Then Your Hardware

This is the step most organizations get backwards. They buy hardware and then discover it does not integrate cleanly with their platform of choice.

The three dominant platforms in Canadian enterprise environments are Microsoft Teams Rooms (MTR), Zoom Rooms, and Cisco Webex. Each has its own certified hardware ecosystem, management tools, and licensing model. Your choice here will define which devices are compatible, how the room is managed remotely, and what the user experience looks like for both in-room and remote participants.

A few principles to guide the decision:

  • If your organization is already standardized on Microsoft 365, MTR is almost always the right choice. The integration with calendar, directory, and Teams calls is seamless.
  • If your organization uses Zoom as its primary communications tool, Zoom Rooms and Zoom-certified hardware (including Neat devices) will give you the cleanest experience.
  • Cisco Webex is the strongest choice when security, compliance, and enterprise-grade management are the priority, particularly common in financial services, government, and healthcare environments.

Step 4: Select Your Core AV Components

A hybrid meeting room has five core technology layers. Each one affects the others, so they need to be specified together rather than purchased independently.

Display

The display is what in-room participants look at during a call and what content gets shared. For most rooms under 6 metres in length, a commercial-grade flat panel display in the 65–86 inch range is the right solution. Larger or more complex rooms may warrant dual displays, one for the far-end video feed and one for content.

Consumer televisions are not appropriate for permanent meeting room installations. Commercial displays are built for continuous use, have better brightness for ambient light conditions, and support the management and mounting requirements of a professional AV deployment.

Camera

Camera selection depends on room size and the platform you are running. For small to medium rooms, a collaboration bar (an all-in-one device combining camera, speaker, and microphone) from vendors like Logitech, Yealink, or Cisco handles most scenarios well. For larger rooms, a separate PTZ camera with AI-powered auto-framing and speaker tracking will cover a wider field of view and keep remote participants engaged with whoever is speaking.

The camera should be positioned at display height and centred on the table, not mounted high on the wall looking down at participants.

Microphone

Audio is where hybrid meetings most commonly fail. In-room participants forget that remote participants cannot hear side conversations. Laptop speakers are not microphones.

Microphone selection depends on room size. Tabletop conference microphones work well for smaller rooms. Ceiling microphone arrays (such as the Shure MXA920) are the premium solution for larger rooms: they pick up voices from anywhere in the space without cluttering the table, and they perform significantly better in rooms with challenging acoustics.

Beamforming and AI noise suppression are worth prioritizing. They make a noticeable difference in rooms with HVAC noise or hard surfaces.

Speakers

Ceiling or wall-mounted speakers provide more even audio distribution than the built-in speakers on a collaboration bar, particularly in rooms where participants are seated far from the display wall. For smaller huddle spaces, the audio from a quality collaboration bar is typically sufficient.

Room Control

A touch controller on the table or outside the room gives participants one-touch access to join calls, control volume, share content, and manage room functions without navigating a laptop. This is not a luxury, it directly reduces the first five minutes of every meeting that currently disappear while someone figures out how to start a call.

Step 5: Plan Your Network Infrastructure

A hybrid meeting room is a networked device. Every component, the compute unit, camera, microphone, controller, and display, needs reliable, low-latency connectivity.

Infrastructure requirements to confirm before installation:

  • Dedicated VLAN for AV traffic: Keeps meeting room devices isolated from general office traffic and simplifies troubleshooting.
  • PoE switching: Many modern AV devices (touch controllers, scheduling panels, certain cameras) are powered over Ethernet. Confirm your switching infrastructure supports PoE+ before specifying hardware.
  • Wired backhaul to the room: Wi-Fi is not reliable enough for a primary hybrid meeting room connection. A wired Cat6 or Cat6A run to the room is the baseline.
  • Bandwidth: A single Teams or Zoom call in 1080p uses approximately 3–4 Mbps. With multiple rooms running simultaneously, confirm your WAN capacity can handle the load.

Step 6: Think About Ongoing Management Before You Go Live

This is the step that determines whether the room stays working a year from now.

Modern AV platforms include remote device management tools that let your IT team monitor room health, push firmware updates, flag issues, and resolve problems without physically entering the room. For organizations with multiple rooms across multiple sites, this is essential.

Confirm with your integrator what the post-installation support model looks like: who monitors the system, what the response SLA is for a room that goes down, and how firmware and platform updates are managed over time.

A well-designed hybrid meeting room should require zero user intervention. If the experience depends on someone in the room knowing how to troubleshoot it, the design is not finished.

Building a hybrid meeting room from scratch involves more interdependent decisions than most organizations expect. Platform choice affects hardware. Room dimensions affect microphone and camera selection. Network infrastructure affects reliability. Acoustic conditions affect audio quality. Getting one layer wrong affects all the others.
