One of the most common mistakes in commercial AV is applying the same solution to every room. A huddle space for three people and a boardroom for twenty have almost nothing in common when it comes to what the technology needs to do, yet organizations routinely either over-spec small rooms with enterprise hardware they do not need, or under-spec large rooms with collaboration bars that cannot cover the space.
Room size is the starting point for every AV decision. Get that right, and the rest of the specification follows a logical path. Get it wrong, and you end up with dead audio zones, cameras that cannot frame a speaker at the far end of the table, and displays that are too small to read from the back row.
This guide breaks down what belongs in each room size category, what the key variables are at each level, and where the common mistakes happen.
How to Define Room Size for AV Purposes
Manufacturers and integrators typically classify meeting rooms into three tiers. The dimensions below are guidelines, not hard rules, room shape, ceiling height, and the number of seated participants matter as much as square footage.

One important caveat: a long, narrow room behaves more like a large room acoustically and visually even if the total square footage is modest. Always assess the longest sightline from the camera and the furthest seat from the display when categorizing a room.
Small Rooms: Huddle Spaces and Focus Rooms
What the space needs to do
Small rooms are typically used for one-on-one meetings, quick check-ins, and small team calls. The priority is simplicity: participants should be able to walk in, join a call in under ten seconds, and have a clear, natural experience without any technical setup.
Recommended AV approach
Display: A single commercial flat panel in the 55 to 65 inch range is appropriate for most small rooms. Mount it at eye level facing the door or the primary seating position. Consumer TVs are not recommended for permanent installations due to duty cycle limitations and the absence of commercial management features.
Camera, microphone, and speaker: An all-in-one collaboration bar is the right solution here. Devices like the Logitech Rally Bar Huddle, Yealink MeetingBar A25, or Neat Bar 2 combine a wide-angle camera, beamforming microphone array, and speaker into a single unit that mounts below or above the display. They are fast to deploy, easy to manage, and purpose-built for this room type.
Room control: A compact touch controller (such as the Logitech Tap IP or Yealink CTP18) provides one-touch call joining and basic room control. For organizations using Microsoft Teams Rooms, this also enables room booking directly from the panel.
Compute: Most modern collaboration bars include an integrated compute module or connect to a small form-factor PC or compute kit. Confirm the device is certified for your platform of choice.
Common mistakes in small rooms
- Mounting the camera too high. A camera mounted at the top of a wall will look down on participants and create unflattering angles. Eye level is the target.
- Using a consumer webcam and Bluetooth speaker. This is the BYOD approach. It works for occasional use but creates an inconsistent and often poor experience when the room is used regularly.
- No room scheduling panel. Without a panel outside the door, the room gets double-booked and participants interrupt ongoing meetings. A scheduling display is a small investment that pays back quickly.
Medium Rooms: Team Rooms and Standard Conference Rooms
What the space needs to do
Medium rooms are the most common room type in a commercial office environment. They handle team meetings, client calls, training sessions, and presentations. The AV system needs to handle a wider range of participants, a longer table, and more varied use cases than a huddle space.
Recommended AV approach
Display: A single large-format display (75 to 86 inches) works well for rooms up to around 6 metres. For rooms near the upper end of the medium range, dual displays are worth considering: one for the far-end video feed and one for content sharing. This prevents participants from constantly switching between who is speaking and what is being presented.
Camera: A mid-range collaboration bar with AI auto-framing works for rooms at the smaller end of this category. For rooms where the table extends beyond 5 metres, a separate PTZ camera with speaker tracking will provide better coverage. Look for devices that can track active speakers and frame groups dynamically, this keeps remote participants engaged rather than watching a static wide shot.
Microphone: This is where medium rooms start to diverge from small ones. A tabletop conference microphone (or a mic pod system like the Logitech Rally Mic Pod) works well when participants are seated close to the centre of the table. For rooms where people regularly sit at the far ends of the table, consider a ceiling microphone array or an expanded mic pod configuration. Dead zones at the table ends are the most common audio complaint in this room category.
Speaker: Built-in collaboration bar audio is adequate for some medium rooms, but a pair of wall or ceiling-mounted speakers provides noticeably better coverage and volume distribution when the room approaches its upper capacity.
Room control: A full-size touch controller on the table (Logitech Tap, Yealink CTP25, Cisco Room Navigator) gives participants control over calls, volume, and content without reaching for a laptop.
Common mistakes in medium rooms
- Single display without dual-screen consideration. In rooms used heavily for presentations, participants spend the meeting switching between the content and the people. A second display eliminates that friction.
- Microphone coverage gaps. The seats at the far ends of the conference table are consistently under-served by a single tabletop microphone. Always map microphone coverage against the full table length, not just the centre.
- No separate speaker system. In a room seating ten or more people, the audio from a collaboration bar’s built-in speaker does not distribute evenly. The people furthest from the display hear less.
Large Rooms: Boardrooms, Training Rooms, and Multi-Purpose Spaces
What the space needs to do
Large rooms place the highest demands on every layer of an AV system. More seats mean more varied positions for both cameras and microphones to cover. Higher ceilings and larger floor areas introduce acoustic challenges. Higher-stakes use cases (board meetings, client presentations, all-hands sessions) mean the room cannot have reliability issues.
Recommended AV approach
Display: Dual large-format displays (86 inches or larger) are standard for most boardrooms. For rooms over 9 metres in length, or rooms used primarily for presentations to large groups, an LED video wall or a laser projector with a short-throw lens may be more appropriate than flat panels.
Camera: A high-quality PTZ camera with AI-powered speaker tracking and auto-framing is the right primary camera for large rooms. For boardrooms where the camera needs to cover a very long table, consider a dual-camera configuration, one wide shot and one close-up PTZ, with an AV processor that intelligently switches between them. Cisco’s Room Kit Pro G2 with QuadCam is a strong example of this approach.
Microphone: Ceiling microphone arrays are the preferred solution for large rooms. Systems like the Shure MXA920 or Nureva HDL410 use beamforming technology to pick up voices from anywhere in the room without requiring tabletop devices. This keeps the table clean and provides far more consistent coverage than any tabletop configuration. For very large rooms, multiple ceiling arrays may be required.
Speaker: A distributed ceiling or wall speaker system, driven by a DSP amplifier, is standard for large rooms. DSP processing (digital signal processing) allows the integrator to tune the audio output for the specific acoustic characteristics of the room: adjusting equalization, managing echo cancellation, and balancing volume across the speaker zones.
Room control: A large-format touch panel on the table or credenza, combined with an integrator-programmed control system (Crestron, Q-SYS, or AMX), gives participants full control of every room function from a single interface. This is particularly important in rooms with multiple AV inputs, motorized screens or blinds, and lighting control integration.
Common mistakes in large rooms
- Specifying a collaboration bar for a boardroom. All-in-one bars are designed for small to medium rooms. In a large room, the camera field of view is too narrow, the microphone range is insufficient, and the speaker output is inadequate. The result is a room that consistently underperforms.
- No acoustic treatment. Hard surfaces in large rooms create echo and reverberation that microphones cannot fully compensate for. Basic acoustic panels make a measurable difference.
- Skipping the DSP. A large room without DSP audio processing will have uneven volume, echo, and feedback issues. It is not an optional component at this scale.
A Note on Future-Proofing
Whichever room size you are specifying, build in flexibility for platform changes and device upgrades. Choose hardware that is platform-certified but not locked to a single vendor. Use structured cabling (Cat6A minimum) rather than proprietary cabling wherever possible. And confirm that your AV integrator can support the system remotely, firmware updates, platform changes, and configuration adjustments should not require a truck roll every time.
